How Earling Labs collects, uses, and protects information across the suite. Written in plain English, because a contractor should be able to read this in five minutes and know exactly where their data goes.
Earling Labs is a suite of business software for trade contractors, provided by Earling Labs LLC, a Minnesota limited liability company ("Earling Labs," "we," "us"). This policy covers the whole suite — Ringer, Estimator, Scheduler, Invoicer, Receipts, Booster, JOBS, Reporter, Crew, Routes, Bookkeeper, Designer, Marketer, Receptionist, and Closer — along with the umbrella site and the shared sign-in service at id.earlinglabs.com.
Individual products may publish their own policy covering details specific to that product. If a product policy and this one disagree, the product policy governs for that product.
This is the most important thing to understand about our privacy posture, so we are putting it first rather than burying it.
For a contractor's own account data, we are the responsible party. For the information a contractor puts into the software about their customers — names, phone numbers, job addresses, photos, invoices — the contractor is responsible and we act on their instructions. We process that data to run the software they are paying for. We do not use it for our own purposes, we do not sell it, and we do not market to it.
If you are a homeowner and you want your information corrected or deleted, the fastest route is the contractor you hired. You can also write to us at support@earlinglabs.com and we will help, but in most cases we will need to confirm the request with the contractor whose account holds the record.
We do not sell personal information, and we never have. We do not share it with data brokers, lead generators, or advertisers.
Several features send text you or your customers wrote to an AI model in order to draft a summary, a quote, a reply, or a review request. Today that model is Claude, operated by Anthropic, called through their API. Some features use machine-learning models built by Earling Labs.
Content sent to the Anthropic API is processed to return a response and is not used to train their models. AI output is generated on a best-effort basis and can be wrong — review it before you send it to a customer or rely on it for a decision. Full detail is on our AI Disclosure page.
We use service providers to run the software. Each one receives only what it needs for its job.

We will also disclose information if we are required to by valid legal process, or if it is necessary to protect someone's safety. If Earling Labs is ever sold or merged, customer data would transfer as part of that transaction and we would say so in advance.
Mobile numbers are never sold, rented, or shared with third parties or lead generators for marketing purposes, under any circumstance. The only third parties that receive a mobile number are the operational providers listed above, and only to deliver the message.
We keep contractor account data for as long as the account is active. After an account closes we retain it for 30 days so it can be recovered if the closure was a mistake, then delete it on our normal cycle. Backups roll off within 90 days.
A contractor can request deletion of specific customer records at any time and we will action it. Records we are required to keep for tax, accounting, or legal reasons — invoices and payment records, principally — are retained for as long as the law requires, regardless of an account closing.
No system is perfectly secure, and we will not pretend otherwise. If a breach affects a contractor's data we will notify them without undue delay and tell them what we know.
You can ask us to show you the information we hold about you, correct it, or delete it. Email support@earlinglabs.com and we will respond within 30 days. There is no charge, and asking will never affect your service.
Depending on where you live you may have additional rights — for example, California residents have rights under the CCPA, including the right not to be discriminated against for exercising them. We apply the same process to everyone regardless of location, because it is simpler and it is the right way to do it.
The suite is business software and is not directed to children. We do not knowingly collect information from anyone under 16. If you believe we have, tell us and we will delete it.
We may update this policy. The effective date below always reflects the current version, and for any change that materially affects how we handle contractor data we will email active contractors before it takes effect.
